Staying with your partner on a Schengen visit: how do you prove accommodation?

Staying with your partner on a Schengen visit: how do you prove accommodation?

A hotel booking is not the only way to explain where you will stay. Learn how to document a genuine stay at your partner's home and when official host forms matter.

Your Thai partner will sleep at your home during a Schengen visit. Should you book a hotel anyway? No fictional hotel booking is needed to disguise a genuine stay with a host. The application should explain the real accommodation plan and provide the evidence required by the country handling the visa.

The European Commission lists accommodation among the supporting evidence for a short-stay visa. It does not prescribe one identical private-accommodation document for all 29 Schengen countries. This is why the main destination's current consular checklist is the starting point.

Show who hosts whom, where and when

The invitation or relevant national form should identify the host and visitor, the full address, and the dates the visitor will stay there. Make those dates match the application form and travel plan. The host may also be asked for an ID or residence document and evidence connecting them to the address. Requirements for owners, tenants, originals and translations depend on the destination.

Example: A 14-day trip might include 10 nights at your apartment and four nights at a hotel. State both addresses and the nights covered by each. If you have not booked a hotel, do not claim that you have. Genuine plans are easier to explain than contradictory reservations.

A personal invitation may not be the official proof

The rules vary in ways that matter:

  • Netherlands: the official family-and-friends checklist calls for a completed proof of sponsorship and/or private accommodation form when staying with the inviter. Financial sponsorship and providing a room are related but separate questions on that form.
  • France: France-Visas says a person staying with a private host needs an attestation d'accueil obtained by the host through the local town hall. A friendly letter alone is not the prescribed document.
  • Germany: the Federal Foreign Office explains that a simple invitation can show the purpose of the visit, while a formal Verpflichtungserklärung is relevant when the host commits to covering costs.

These are examples, not interchangeable forms. Follow the official instructions for your actual destination and purpose.

Accommodation and money answer different questions

“You can stay at my home” describes where your partner sleeps. “I will pay for your food and travel” describes who pays. One does not automatically prove the other. If the visitor funds some costs and the host covers others, spell out the split consistently in the form, invitation and financial evidence. See our invitation-letter guide for the personal explanation, while using any official form the consulate requires.

Finally, keep a copy of the accommodation evidence for travel: border officers can ask about the purpose and conditions of a visit even after a visa has been issued. If you want an editable structure for your own invitation and accommodation explanation, the Complete Schengen Partner Visit Document Pack provides English templates and guides. It cannot replace a required national form or the current consular checklist.
